Is Your Admissions Process Clear? Or Just Familiar?
(And is it quietly costing you conversions?)

This is something I see a lot when I work with schools and agencies.

The team’s busy. Enquiries are coming in. But the actual admissions process? It’s working like a dream for the admin of admissions. But it’s not a converting process. It’s just familiar. 

Things have evolved over time, someone new joined, someone left, the spreadsheets are heavily protected, a CRM perhaps got bolted on but nobody’s using it, bits got added, other bits forgotten. What you’ve got now isn’t something you chose. It’s something that just… happened.

And that’s fine until it isn’t.

Because familiarity doesn’t mean it’s working as it should.

I’m not a tech expert, though I know many. But what I see is conversion rates flatlining. Enquiries slipping through the cracks. And good-fit students not making it through the funnel not because they weren’t interested or because of the ‘market’, but because the process didn’t function to convert them, just to process them.

Familiarity feels safe. Clarity drives action.

Familiarity means you’ve got used to the quirks. You’ve stopped noticing the delays. Don’t rock the boat or fiddle with my excel sheet. The handovers. The “I thought you were doing that” moments. It’s all-in-your-memory data.You stop questioning it, because it’s just how things are done.

But clarity is different. Clarity means you can actually see what’s going on in your student recruitment pipeline start to finish. You can spot what’s helping and what’s holding you back. You can make decisions based on fact, not instinct.

Most of the time, the leaks are quiet. Slow follow-up. Late replies. Assumptions that someone else has it covered. Offers sent, then left hanging, ghosted. Good families or agents drifting off, simply because the team weren’t given the sales skills and tools.

Mapping your admissions or student recruitment process doesn’t just highlight the obvious. It shows you what you’ve stopped seeing.

And once you see it, you can fix it.

This isn’t about making things more rigid. Or adding more admin.

It’s about control and knowing where to focus effort. It’s about knowing exactly what happens at each stage, why it happens, and how to make it work harder to convert. And conversion means more students in their best-fit school.
