The 4-Step Follow Up Structure That Converts

Let’s be honest - most follow-up is either too slow, too salesy, or too confusing. And worse? If it happens at all, it doesn’t feel good to the person receiving it. It feels like a cold reminder, a half-hearted nudge, or just more noise in their inbox.

But done right, follow-up is where the fabulous stuff happens.

Not by chasing.
Not by pestering.
And definitely not by copying-and-pasting stale email templates.

What works? A short, focused follow-up that takes a few minutes to prepare - and gets results.

Here’s the core of it.

 

Step 1: Reconnect to the Why (1 minute)

Remind them why they got in touch with you in the first place - or what they were aiming to solve, book, or improve. This isn’t a full recap, just a line that shows you heard them, that you understand.

Example:
"When we spoke, you mentioned wanting X and because Z…"

 

Step 2: Offer Progress, Not Pressure (2 minutes)

People don’t want more decisions, they want fewer. So remove the friction. Offer one clear suggestion or next step. Don’t overwhelm them with ALL the steps and offer to walk through it all together.

Example:
agents:  "I’ve spoken with two centres that match what you’re after - one has availability from July. Want me to send over the info and pricing for you to compare?"

Or

Schools “Shall we find a date for a personalised/virtual tour? How about Thursday or Friday next week?”

You're not pushing. You're making progress easy. Taking one step.

Step 3: Inject Confidence (2 minutes)

A little reassurance goes a long way. Whether it’s social proof, something they've said, or a gentle reminder of timeframes, you’re helping them feel more confident about moving forward. It may be they need to know they can take this step and then still back out if needs be - sometimes showing them that there is an ‘out’ can tip the balance.

Example:
"This is the same route that worked well for three of your students last year - it’s flexible, and they’ll be well looked after. Come and visit and then make your mind up later"

Step 4: End With Clarity (1–2 minutes)

No fluff. End with a clear, low-pressure question or suggestion - no ‘let me know’ or ‘just checking in.’ Aim for at least a  micro step towards the next stage!

Try:
"Want me to hold this option while you decide?"
Or
"Shall we set up a quick call this week to go through the shortlist? Does Tuesday work?"

 

Why It Works

It respects the person’s time. It shows you get them. It’s proactive, but not pushy. And above all, it positions you as the helpful one - not the needy one.

It works across emails, WhatsApp, and calls. It’s not a template - it’s a structure you can use again and again.
